Chapter 9 Meeting objectives: Who are they and why are they attending Focus (objectives) needs to be clear, concise and measurable Setting Objectives - Who is group? Why are they here? - What is objective of meeting? o Impacts virtually of all meeting components  Room setup o Remember why people attend meetings  Education  Networking  Business Needs Analysis - Age and gender of past attendees - Level of expertise o New employee? - Position within organizations hierarchy - Hotel amenities preferred - Medical or dietary needs - Organization paying - Guests of attendees (spouse) o Planning other things to do - Importance of networking - Distance attendees travel - International guest special needs o interpreter - Special accommodations for disabled (ADA) - Educational outcome expected Developing Smart Objectives - Objectives need to be S.M.A.R.T. o Specific  Only measure one thing at a time o Measurable  Quantify or measure that you have/haven’t met objective o Attainable Is it possible to accomplish goal? o Relative  Is it relevant to overall mission/goals? o Time based  Has to include when goal needs to be completed by - Not SMART example o Improve project management skills - SMART example o Take project management essentials workshop on (date), report what was learned by our team by (next date), and apply the relevant concepts while implementing our 2015 marketing plan Site Selection - First establish meeting objectives - Determining site is typically a group decision - Factors to
