As you young professionals know, planning a meeting properly is an undeniably important skill we need to possess. Therefore, how to manage an effective meeting becomes one of the significant skills our young professional leaders should learn. However, because preparing a meeting is not an easy process, we may confront some problems while planning the meeting agenda. For instance, “confused objectives and expectations, confusion between process and content, and unclear roles and responsibilities” (Leadership Communication, Barrett, 298). Among these three conflicts, let me tell you my personal experience of confronting one of those issues, which is “confused objectives and expectations”. That was the third month that I just entered the company. I received the order from my superior to manage a meeting. As a new employee, that was the first meeting arrangement during my career life. Although I tried to prepare everything meticulously, this whole agenda preparation is still not flawless. Because I felt pretty confident about my agenda planning, I sent it out to the attendees without multiple checks and reviews. Then, I figured out that I missed typing the end products, the goal of this meeting on the agenda sheet. I blamed myself for my mistakes and decided I won’t let this problem occur again.How crucial for a meeting to have clear objectives and expectations? Without a distinct goal to achieve, the attendees of the meeting might easily get lost, then the following contents of the meeting will turn into a confusing situation for the attendees. Hence, as arrangers, we should never ever let attendees to guess the purpose of the meeting. So, making the objectives and expectations clear and simple is necessary. And here are some approaches and techniques to solve the problem “confused objectives and expectations”. First, create an agenda that involves objectives and end products. Second, send agenda out ahead of the meeting time. Third, review agenda at the beginning of the meeting. Not that complicated, right? So please don’t be afraid ofthis task of work.
