Study Group Effectiveness Goals: 1. Clarify each member role, which will enable us to work effectively together. 2. Show Commitment. 3. Understand team direction by setting clear objectives. 4. Encourage open communication. 5. Share leadership responsibilities. III. Methods of Communication and Documentation A. To fully support communicative channels for all members' demanding schedules, conference postings and email will be the primary form of information sharing. 1. Individuals do have the option of telephoning each other. 2. The team has the option of holding conference calls should every member agree to it. If a member agrees to the group holding a conference call but is unable to be present, the group must nominate a member to take notes of events and 'back brief' via email. B. All shared documents will have the document title followed by the version number i.e., "Team Work Plan V. 2" C. All shared documents will utilize track changes and comment features to the max extent possible. D. All shared documents will use a time stamp in the footer to prevent posting of new information into old documents. IV. Conflict Management and Contingency Plans: A. Each task has both a primary volunteer and a back-up member. Primary volunteers are responsible for completing high-quality work by their due date(s). B. Back-up members are responsible for communicating with the primary volunteers prior to the deadline, to collaborate and assist if needed. C. Primary and back-up members are responsible for establishing multiple channels of communication. D. If a primary volunteer misses a deadline, the back-up member is responsible for completing the task (and coordinating a revised schedule, if necessary). E. If both primary and back-up members fail to complete a task, the group coordinator is responsible for reassigning or completing the task. F. It is understood that conflict is part of every growth process. With that understanding, Team 4's approach to conflict resolution will be multi-stepped. The following progression will occur to address any conflict that may arise from a tasking: 1. Should the volunteer/back-up have a conflict at their level of tasking they will seek to resolve it as quickly as possible 2. If, at the lowest level, the two individuals are not able to resolve their conflict, they will seek the guidance of the coordinator. 3. If, between the volunteer/back-up and coordinator, the conflict cannot be resolved, it will be put before the group for discussion. 4. Upon discussion of the situation, the group will weigh it's conclusion by vote by which all will comply 5. Should compliance with the group's decision by any individual be an issue, the coordinator will take it up with the individual one-on-one. 6. If the problem persists, the coordinator will bring the decision to the group for further discussion. 7. At this point, the group will consider the “last option.” The last option will be to bring the conflict to Professor Stewart for resolution of the
