Directions for Microsoft ProjectProject Management Portion of the Systems ProjectThis is only a minor part of your systems development project. Do NOT try to use all of the options of Microsoft Project.There are two or three books on Microsoft Project 98 at the computer lab desk available for check out. As of 8/15/01, the Lumpkin Labs are using Project 2000.I. Start Microsoft ProjectA. Start/Programs/Microsoft ProjectNote: Microsoft Project is towards the bottom of the program list. B. If you see a window about registering Project, click on Register Later and ExitB. If you are the first to use Microsoft Project, you might gets a startup screen. If so, click "don’t display start up screen again" and exit the window.C. Open a New Project1. File/New a. May get a window showing options; if so select blank templateb. A project information dialog box is displayed1. You must enter either a starting or ending date. Either enter the current date or the first day of semester as the starting date. ClickOKc. You should see a screen similar to:d. I elected to exit (X) the help window and maximize the Project window.II. Entering tasks, duration, predecessor tasks and resource name.A default calendar is set up. Depending on the default options of Project, thiscalendar may/may not allow you to schedule activities on holidays (Labor Day)and/or weekends. To avoid this problem, always use WEEKS as a time measure. You can use fractional weeks, such as .5 week.A. Use the icons on the left hand side of the screen. If the GANTT icon is not selected,select it.B. Click on the tasks name column in the first row of the GANTT chartC. Type in your first task: Objectives/Scope/RequirementsD. Tab over to the duration field. Type in the quantity and the unit (w for weeks, d for days, h for hours). I suggest you use weeks. You may use fractional weeks by keying in .5 wE. Tab over to the "Predecessors Column". In this column, you will normally type a number from the first column {such as 2 or 4, 5 for multiple events]F. The first event has no predecessor event. You will need click on the start cell and enter the first day of the semester or the start date you entered on page 1 [if not supplied by Microsoft Project]G. You can identify the member(s) who will be working on this deliverable, but later, you will be able to adjust percentages to indicate who is the primary person in charge and the anticipated percent of contribution by each person. I would NOT use the Resource Name column at this time.H. Use the mouse or the arrow keys to move to the next row.The start/end date will be ###### until you type in the predecessor event. You only need to enter the task name, duration, predecessor and perhaps resource name (see previous page) for all events which have a predecessor event. You must enter a start date on the tasks without a predecessor event.A calendar will assist you in the date selection.III. You will probably want to save your work periodically. Save on the A drive.A. File/Save or Save AsB. Use the option: Save with BASELINE. The Baseline is used for tracking the progress of the project and comparing the actual activities with the planned activities.IV. Assign resources to a taskPlease indicate the anticipated percentage of the project that each resource individual is expected to contribute. You probably will want one person "in charge" of an activity and one or two others to contribute to the deliverable. Thus one person may be responsible for 60% of the project and two others at 20%A. From the list of icons on the left hand side, click on the Gantt Chart iconB. Select a task nameC. On the standard toolbar across the top of the screen, select the Assign Resources button (7th from the right; it looks like 2 heads)D. The Assign Resources dialog box appears.E. If you did NOT key in a Resource Name on the spreadsheet, key in the name and anticipated percent in the units column for each person. Click AssignF. If you DID key in a Resource Name on the spreadsheet, the name will appear in the window below. However, Assign will be disabled. When you click replace, you receive an error that the person is already allocated to the task; but the assign button becomes available. Click Assign and it will workG. Click Close [optional - this small window can stay open]VI. PrintingA. Select the Gantt icon on the left hand sideB. Select the printer icon on the standard toolbarC. You can also select the Network Diagram (PERT) icon and print the PERT diagram in a similar fashion. 1. In Project 98, the PERT chart usually needed reformatting to avoid crossed lines. Move the mouse to the end of the "rectangle" which you wish to move. Click and HOLD. Drag the figure to the desired location.2. I did not have this problem with my limited experience with Project 2000.VI. Once you have finished the planning stage of the project, save it with the baseline option. From now on, do not use the baseline option. We do not want to change the plan when actually tracking the progress of the project. We will be able to compare the plan with the actual.There is a method for placing the actual time, resources, and dates on the same chart as the baseline. However, it is different in Project 2000 than in Project Rather than complicate the problem:1. Do one project for the planning stage2. Do another chart for the actual stage. I will use the information on this chart to determine who is contributing or not contributing to the project.A few different sample
