A production planning clerk keys in the data and an online process occurs in which the Product Specifications and the Operations (routing) files are updated.Product Specifications file – file in which material requirements and specifications for a product is contained.Operations (routing) file – file that contains the route (or path) of materials and product through the factory.Sales forecasts (from Marketing) and back-order reports (from Shipping & Receiving) are received and production needs are determined. A document is then created called Production requirements by products (a document listing all materials required for production on specific products). At the end of the day, the data of production requirements are keyed in.At the end of the day the following files are accessed and updated, using the Product Specifications file, the Operations (routing) file, and the Production requirements by products report.Raw materials inventory master file – list of on-hand raw materials (raw materials are issued to production).Machine loading file – Requirements for machine preparation and maintenance for production.Open Production Orders File – open production orders that are currently being filled/made. A new production order(s) is added to the file. It will remain open until the production order is complete.Production Schedule File – Production Order time line.These files are read and updated with the new sales forecasts, back-order reports, and new special sales orders.After the 4 above referenced files are updated, several documents are created.Bills of materials – list of materials needed to produce the order. (Exact specifications and prices of materials. Lists all required parts and their descriptions in subassembly order. Can be used as a ready reference for replacement parts.)Operations list – production activities including time and quantities used in the process. (Includes detailed labor operations, their sequencing, and their related machine requirements.) Sales order – copy of sales order given to the customer as acknowledgement.Production order – official order of production (authorizes new production to begin).Move tickets – authorize transfer of raw materials from warehouse to factory floor--tickets that raw materials, WIP, and finished products are marked with, stays with entire job. Serves as internal control to prevent theft (track the movement of all inventory).Materials issue cards – cards that document what raw materials were issued for each specific production order. (Each inventory item has its own card showing withdrawals and issuances.) These are then given to the Production Operations Dept.Production schedule – revised to show new orders and back-order changes, timeline for production to complete order. This schedule includes starting dates for all work centers. It computes work hours (man and machine hours) for each specific production operation. This is given to the Production work centers.Materials requirements report – This report lists all materials needed to support jobs in process and fill new production orders. It is sent to purchasing so that they can generate purchase orders to various vendors to bring materials needed to start or continue
